Our Tour Booking Terms and Conditions
Tour price & confirmation
Tour prices are quoted in $NZ.
New Zealand GST (Goods & Services Tax) of 15% is included in tour costs.
Payment of a non-refundable deposit of 20% of the tour cost confirms your booking and acknowledges your agreement to our terms and conditions.
Terms of business are by prepayment of all tour costs.
Balance of fare
The balance of tour price is due to MoaTrek New Zealand Ltd 120 days before the tour starts. If the full tour price is not received by this date we reserve the right to cancel your tour and retain the deposit. Tour reservations can be made within 120 days provided full payment is made at time of booking.
Cancellation policy
Cancellation fees depend on when MoaTrek receives notification of a cancellation:
Bookings cancelled more than 120 days before departure incur 20% of tour cost.
Bookings cancelled between 120 days and 90 days incur 50% of tour cost.
Bookings cancelled within 89 days or less of tour departure incur 100% of tour cost.
No refunds will be made after travel has commenced.
Tour payment
We offer a variety of convenient payment methods to make this as easy as possible. Payment options include, Visa and Mastercard, local bank transfer as well as international bank transfer direct into our New Zealand account. Please be aware that depending on the payment method, there may be transaction or foreign exchange fees included in the total amount. Once full payment is received into our bank account, including any fees, your tour booking is confirmed.
Prices
All holiday prices are based on schedules, fares and tariffs current at the time of quotation. MoaTrek reserves the right to vary the cost of tours if necessary, by reason of currency fluctuation, or component cost increase. Tour costing will be guaranteed at the price prevailing at the date of final payment.
Luggage Limits
Travelling light: Please limit your luggage to one medium-sized suitcase weighing no more than 23kg (50 lbs). This will be stored in the luggage compartment and will not be accessible during the day. Bring a soft bag or small day pack that can be easily stowed on the coach for your rain jacket, sunhat, camera and other items.
Room & Dietary Requests
Special room and dietary requests will be accepted and passed on to the hotels and included meal suppliers but cannot be guaranteed.
Smoking Laws
Smoking is not permitted in any licensed premises (bars, restaurants, cafes, casinos, etc) throughout New Zealand. Smoking rooms at hotels will be subject to availability and may not be available in some destinations.
Seat Rotation
For the enjoyment of all passengers MoaTrek operates a daily seat rotation system which all passengers must participate in as a condition of booking.
Travel Insurance
You should hold a comprehensive travel insurance policy to safeguard your tour payment in the event of your having to cancel your reservation, curtail your tour or to cover you for anything unforeseen while you are in New Zealand.
Health, Fitness and Behaviour
Payment of the deposit by the client(s) to MoaTrek New Zealand Ltd acts as a warranty that the client(s) is/are reasonably healthy and/or fit to participate in the tour and the client(s) indemnifies MoaTrek New Zealand Ltd from all actions, claims and demands arising out of any want of health and fitness.
MoaTrek New Zealand Ltd reserves the right to remove a client from a tour if their health, fitness or behaviour interfere with the tour or other client(s) tour experience in any way. If you become unwell during the tour and are unable to continue, require additional support, or if we have any concerns about your health, safety, or well-being, MoaTrek New Zealand Ltd may discreetly contact your Emergency Contact to ensure appropriate assistance is provided. For Health and Safety reasons we are not able to cater for walking frames, mobility scooters, wheelchairs or crutches on our tours.
Privacy Act Waiver
Travellers joining our tours automatically give consent for us to pass essential personal information to our suppliers on the tour as necessary. This information may include full name; address; travel details; contact details; dietary requirements and health information.
Weight Limit for Scenic Flight
As your Milford Sound scenic flight is an integral part of your tour, please note that due to aviation regulations here in New Zealand there is a per person weight limited of 120kg (264 pounds). You must be able to safely enter and leave the aircraft without assistance under the judgement of the pilot of the day. If this is an issue for you please let us know well in advance and we’ll work with you to find an alternative.
Responsibilities
MoaTrek New Zealand Ltd advises that the service it provides is for the booking and packaging of goods and services provided by other operators such as hotels, attractions and transportation companies. Travellers are advised to familiarise themselves with the terms and conditions on which these services are supplied. Accordingly MoaTrek will not be responsible and will be excluded from liability for any loss, damage, omission or acts being negligent or otherwise, committed by the operators of airlines, coach lines, cruise vessels, hotels or attractions used in connection with the tours.
Optional Tours
MoaTrek New Zealand Ltd does not operate these excursions. As such, no person employed or associated with MoaTrek has any connection with the operators of these excursions. Accordingly, MoaTrek cannot and do not take any responsibility for any injury, action, loss or damage of any type, arising in any manner from these excursions.
Accommodation and activities
Occasionally MoaTrek may need to make a variation to the listed accommodation. This accommodation will be of the same standard or best available alternative. If an included activity is unavailable, MoaTrek will provide an alternative activity of a similar standard. MoaTrek reserves the right to amend/alter an itinerary where necessary.
Dispute
The law of this contract is the law of New Zealand.
Documentation
The client(s) is/are responsible for the acquisition of passports and appropriate visas, where necessary. We recommend that such documents, as required by governments, are finalised at least six (6) weeks prior to the date of departure.
Refund
Please note that no refund shall be made for any unused portion of any itinerary. Any alteration to the holiday, made by a client(s), shall be wholly at the expense of that client(s).
Transfers
Airport transfers in New Zealand are not included.
Holiday Duration
The first and last day of most structured holidays is considered a travelling day and therefore depending on flight times may not necessarily be a whole day.
Force Majeure
Except where otherwise expressly stated in these booking conditions we regret that we cannot accept liability or pay any compensation where the performance of our contractual obligations is prevented or affected by reason of circumstances amounting to “force majeure”. In these booking conditions, ‘force majeure’ means any event which we or the supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events may include war or threat of war, riots, civil strife, terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire and all similar events outside our control.
Use of Imagery
MoaTrek New Zealand reserves the right to use photographs or videos taken during tours for promotional purposes. This may include, but is not limited to use online, in printed material or at public events.
